What you'll do
- Manage complex executive calendars across multiple regions and time zones, ensuring effective prioritization and coordination of meetings.
- Coordinate domestic and international travel arrangements, including itineraries, accommodations, transportation, and travel-related logistics.
- Organize leadership meetings, business reviews, and team events by coordinating schedules, agendas, materials, communications, and meeting logistics.
- Track action items and follow-ups from meetings, ensuring timely completion of deliverables and progress against team commitments.
- Support monthly business updates, leadership communications, and operational initiatives across the Compliance organization.
- Maintain and update collaboration platforms, including Microsoft Teams and SharePoint, ensuring information remains accurate, accessible, and current.
- Process invoices, support budget administration activities, prepare cost reports, and coordinate vendor-related administrative tasks.
- Provide executive and operational support to the Vice President, Compliance for Regions & GQO, and additional Compliance leaders while contributing to special projects and process improvement initiatives.
What they're looking for
- High School Diploma or equivalent.
- Minimum 3 years of experience in an Executive Assistant, Administrative Assistant, Executive Support, or comparable business support role.
- Experience managing complex executive calendars and coordinating meetings for senior leaders.
- Experience coordinating domestic and international business travel.
- Experience supporting invoice processing, expense reporting, budget administration, or related financial administration activities.
- Proficiency with Microsoft Outlook, Word, Excel, PowerPoint, Teams, and SharePoint.
- Fluency in English.
Nice to have
- Minimum 1 year of experience supporting leaders within Compliance, Quality, Risk, Governance, Ethics, or another corporate function.
- Experience supporting global teams across multiple countries and regions.
- Experience using Microsoft 365 Copilot or other AI-enabled productivity tools to support executive administration, content development, meeting preparation, business coordination, and process optimization.
