What you'll do

  • Support the coordination of facilities maintenance and repair requests, including following up with vendors, scheduling work, communicating with internal teams, tracking updates and correspondence in our project management platform, maintaining maintenance logs and vendor databases
  • Assist with OpEx and CapEx facilities projects by keeping tickets and records detailed and current in our platform and database, supporting communication with contractors, helping track timelines, and flagging risks or delays
  • Maintain accurate and up-to-date administrative records across facilities, security, and operations, including vendor contacts, location information, service histories, and compliance documentation; produce Excel-based tracking reports
  • Pro-actively monitor and manage field situations (security, facility, and terminal operations); receive inbound calls from sites regarding incidents and maintenance issues, log all details with precision, and communicate relevant updates to stakeholders
  • Respond to field inquiries and assist with investigating and resolving operational concerns; follow up on specific customer experience events such as reebokings and ticket reissue, document findings, and support field staff and resellers during disruptions
  • Support the Sales and Agency Management (SAM) domain with miscellaneous accounting, invoicing, and administrative topics
  • Continuously strive to optimize operational and administrative processes to guarantee the quality of our services; maintain compliance with internal policies, safety rules, environmental policies, and government regulations

As a Field Operations Support Agent, you will support our ambitious growth across the US by coordinating facilities maintenance, managing administrative records, monitoring field situations, and ensuring timely communication across the Flix/Greyhound network. The ideal candidate is detail-oriented and has open/flexible shift availability to support our 24/7 operation.

About the Role

  • Support the coordination of facilities maintenance and repair requests ,this includes following up with vendors, scheduling work, communicating with internal teams, tracking updates and correspondence in our project management platform, maintaining maintenance logs and vendor databases, and helping ensure open items are moving toward resolution.
  • Assist with OpEx and CapEx facilities projects by keeping tickets and records detailed and current in our platform and database, supporting communication with contractors, helping track timelines, and flagging risks or delays to the appropriate stakeholders
  • Maintain accurate and up-to-date administrative records across facilities, security, and operations, including vendor contacts, location information, service histories, and compliance documentation; produce Excel-based tracking reports and summaries for internal stakeholders as needed
  • Pro-actively monitor and manage field situations (security, facility, and terminal operations); receive inbound calls from sites regarding incidents and maintenance issues, log all details with precision, and communicate relevant updates to stakeholders including security, legal, risk management, traffic control, and communications teams in a timely manner.

About You

  • At least one year of professional experience in facilities coordination, administrative support, call center, or related fields; previous experience in transportation, security, or emergency response is a strong plus
  • Extremely detail-oriented with strong organizational and multi-tasking skills; high standard for record-keeping, logging, and follow-through on open items
  • Skilled in Microsoft Office Suite, particularly Excel (tracking sheets, reporting, data organization); experience with project management, CMMS, or CRM platforms such as Salesforce is a plus
  • Fluent in English
  • Previous experience as a Facilities Coordinator, Administrative Assistant, or in a combined facilities/admin role is a strong plus
  • Friendly, patient, professional and personable; able to stay composed and make sound decisions independently in time-sensitive situations
  • Flexibility and ability to work non-traditional hours (our operation is 24/7)
  • Passion for public transportation and strong interest in the bus market
