Position Overview:

The Payroll Administrator is responsible for supporting timekeeping administration, labor accounting, payroll reconciliations, intercompany billings, workforce reporting, and related financial activities across multiple operating locations. This position serves as a key liaison between Operations, Finance, Human Resources, and Payroll to ensure labor data is accurate, costs are properly allocated, and management receives timely workforce reporting. The Payroll Administrator will also develop proficiency in payroll processing and serve as a backup to the Payroll Manager as needed.

Essential Duties and Responsibilities:

Timekeeping Administration

  • Administer and maintain employee timekeeping records for two large operating sites.

  • Partner with supervisors and managers to resolve timekeeping discrepancies.

  • Enter and maintain Field Service employee timecards and labor transactions.

Payroll Support

  • Support payroll-related activities by validating timekeeping data and assisting with payroll audits and reconciliations.

  • Cross-train in payroll processes and procedures to provide backup support to the Payroll Manager when required to support in succession planning. 

  • Respond to employee and management inquiries related to timekeeping and labor reporting.

Accounting and Reconciliations

  • Prepare and post payroll-related journal entries to the General Ledger.

  • Perform payroll and labor account reconciliations and investigate variances.

  • Assist with month-end close activities related to payroll and labor expenses.

  • Prepare and process intercompany labor billings.

  • Reconcile intercompany labor transactions and resolve discrepancies with business units.

  • Prepare and process intercompany labor billings.

Reporting and Analysis

  • Calculate and maintain Full-Time Equivalent (FTE) reporting metrics.

  • Generate recurring labor and workforce reports for department managers and leadership.

  • Prepare ad hoc reports and analyses related to labor costs, staffing, productivity, and workforce trends.

  • Support management decision-making through accurate reporting and analysis.

Compliance and Process Improvement

  • Maintain confidentiality of employee and payroll information.

  • Support internal and external audit requests.

  • Assist in documenting and improving payroll, timekeeping, and reporting processes.

  • Ensure compliance with company policies and applicable regulations.

Education and Experience:

  • Associate’s degree in Accounting, Finance, Business Administration, Human Resources, or a related field preferred.

  • Two or more years of payroll, accounting, timekeeping, or related administrative experience preferred

  • Familiarity with ERP systems (IFS Cloud or similar) is a plus
