Full description from employer

Role: People and Office Coordinator

Reporting to: Head of People

Location: London, with min. 3 days per week in office (days will vary according to what we have on)

Flexibility: We’re open to this role being 4 or 5 days per week

About the Role

Greyparrot uses AI waste analytics to help waste operators, brands and regulators make smarter decisions through waste intelligence. We're a fast-growing, ~60-person team, distributed across the UK and Europe, with a small central London office at the heart of how we work together.

We've outgrown ad hoc office management. In this role you’ll be responsible for our office, our suppliers and our culture calendar. You’ll work alongside our Head of People to keep what we love, build what doesn’t exist yet and evolve the rest for scale. Part of this is managing our office move: we’ve outgrown our current office and are moving to a new home where we can continue to build and thrive (location tbc!). You’ll get exposure to People Operations and support the build of a scaling function in an exciting tech company.

Mission

You help to create an environment where our team can do their best work. You run our office, our suppliers, the culture calendar and the foundations of People Ops, and people feel proud and connected to where they work and to each other.

Outcomes

These are the results you will be held to.

1. Our office drives business success

Our new office is a welcoming, great place to work. We’re proud to bring our customers and guests to the office, and it’s an environment where we can do our best work. You own the relationships with our suppliers, and you handle supplies, kit, seating, cleanliness and basic H&S before they become a problem. When something breaks or runs low, you’re the first to notice and get it fixed. You’re frequently initiating ways to make the office a little bit better.

To help us get there, you own the practical delivery of our upcoming office move: working with our Head of People and VP Ops on space planning, supplier coordination and moving-day logistics. The team arrives at a new space that's ready to work in from hour one.

2.  Every event is intentional

Team socials, All Hands logistics, celebrations and team traditions happen on a calendar you own and drive. Each event has a clear purpose, a budget and a plan, and it runs smoothly on the day. You do the tech set up, arrange the suppliers and ensure everyone knows where they need to be when.

3.  The foundations of People Operations work

New employees get a smooth, efficient and personal onboarding process when they join that shows them the best of Greyparrot. You know that setting someone up for success when they join means contributing to their long term success. Meeting coordination, policies, benefits, and day-to-day upkeep of our People systems (Notion, HiBob) happen accurately and on time. You work with the Head of People to ensure we deliver an excellent employee experience across the board.

4.  You build what's missing

Many things at our stage of business don't have an existing process. Where you spot a gap, you build the process, document it and keep working to improve it.

Competencies

How you work matters as much as what you deliver. These are the behaviours we expect to see.

  • Customer champion: You understand what our team actually needs, you communicate clearly and manage expectations honestly.

  • Impact: Things are measurably better because you are here: a supplier that used to cause problems now doesn't, people still mention how great an event that you ran was, you iterated a process that used to take a week and now takes an afternoon. You treat outcomes as yours from start to finish, and escalate things that need it rather than hoping no one will notice.

  • Agility: You know that our needs will change as we grow. You adapt your approach for what we need now, but you’re not precious about your work and when things change, you do too.

  • Integrity: You hold yourself accountable for what's yours. You’re motivated by the business succeeding and you help to build a business where our amazing team can thrive. When something goes wrong, you own it and ask for support, and we learn and grow as a team.

  • Curiosity: You’re constantly looking for ways to improve employee experience. When something isn’t working, you find out why and own the fix.

Experience

  • You've run the office for a company around our size and you know what it involves: supplies, vendors, day-to-day fixes, the lot

  • You've supported People or HR processes before, including onboarding, benefits admin, and you know how to use an HRIS (we use HiBob)

  • You've owned supplier or vendor contracts and can point to value you got out of them

  • You've planned and delivered company events end to end

  • You've developed or improved a process at a small or fast-growing company.

About Greyparrot

The world is in a waste crisis. Currently we produce 2.1 billion tons of solid waste per year. Data collection of the waste we produce is non-existent, meaning no systematic transparency and no accountability. It means that recycling targets are not upheld, dumping of waste into our oceans remains nobody's responsibility, recyclables get sent to landfill or incineration, and producers get away with sub-standard packaging. Thus, recycling rates stubbornly remain at 10% and, unless we change, by 2040 the plastic stock in the ocean will have quadrupled - a problem that already costs society $1.5 trillion each year.

Our mission is to digital waste flows to accelerate the circular economy. Currently, our camera system and AI software are deployed in recycling plants and waste facilities around the world to measure material flows and provide waste analytics. We have compiled a team of experts to deploy our technology and we’re looking to expand our team.
