About this role

Are you organised, detail-oriented and confident working with systems, suppliers and internal stakeholders? Do you enjoy coordinating purchasing activities and ensuring that orders, deliveries and documentation are handled accurately and efficiently? Then you may be our new colleague! We are looking for Purchasing Administrator.

About the role

As a Purchasing Administrator, you will play an important role in supporting our team. This position is responsible for operational purchase order processing and follow-up of materials and services for Germany and the Netherlands, based on material requirements planning (MRP) or purchase requisitions, ensuring accurate purchasing data in SAP and timely delivery of goods needed for production and customer requirements.

Main responsibilities

  • Process purchase requisitions and purchase orders within existing purchasing agreements and approval limits.

  • Place purchase orders in the SAP S/4 Hana system and maintain accurate purchasing master data.

  • Monitor delivery times and follow up on open orders to ensure accurate stock management.

  • Maintain purchasing data, reports and price lists.

  • Order, call off and monitor raw materials and semi-finished products required for production.

  • Coordinate with Production and other departments to maintain agreed safety stock levels.

  • Identify invoice, shipping, cancellation and specification discrepancies, route them to the relevant PO owner or responsible function, and follow up the administrative status in SAP.

  • Maintain purchasing and supplier administration, including associated quality documents and certificates.

  • Coordinate with internal departments and suppliers on order status, delivery timing and documentation, routing practical issues to the relevant owner where resolution falls outside the role’s administrative scope.

We are looking for someone with:

  • Commercial training/apprenticeship, ideally with a focus on purchasing, or equivalent practical experience.

  • 1–2 years of experience in purchasing or purchasing administration, preferably in a manufacturing environment.

  • Experience with SAP is a plus.

  • Good working knowledge of MS Office (Outlook / Word / Excel).

  • Fluent German and good working knowledge of English (B1 or B2).

What we offer

You will join AAF in a role that keeps the order-to-delivery process running smoothly for Germany and the Netherlands, working closely with Production, Supply Chain and Sales colleagues. This is a good fit for someone who enjoys structured administrative work with real operational impact, without needing to take on contract negotiation or supplier dispute resolution.
