What you'll do

  • Process and systems ownership. Own and continuously improve the service center’s logistics, inventory, ERP, and finance-support workflows; design, document, and maintain the standard operating procedures for North American operations.
  • Vendor and carrier management. Select, evaluate, and negotiate terms with carriers, freight forwarders, customs brokers, calibration vendors, and parts suppliers; make sourcing and vendor decisions and manage those relationships end to end.
  • Demand and inventory planning. In partnership with Operations, manage the demand forecasting and inventory strategy: set reorder points and safety-stock levels and make stocking, allocation, and disposition decisions that balance cost against service commitments.
  • Customs and trade compliance. Serve as the service center’s decision-maker on import and export compliance, interpreting requirements and resolving complex shipment and documentation issues using independent judgment.
  • Spend analysis and cost control. Capture & analyze operational spend and expense data; identifying cost-reduction opportunities and make budget and process recommendations to leadership.
  • ERP ownership. Own SAP/ERP operations and data governance for the service center (purchase orders, sales orders, inventory movements, payments and vendor records), ensuring accuracy and driving process improvements across the system.
  • Performance and reporting. Help to define, track, and create efficiencies, analyzing performance and lead continuous-improvement initiatives.
  • Cross-functional coordination. Act as the North American operations point of contact with home-office teams (Sales, SCM) in Munich, coordinating across time zones and representing the service center’s operational interests.
  • Oversight and exceptions. Oversee shipping, receiving, and inventory transactions, reviewing accuracy and resolving exceptions; direct the work of the warehouse and logistics with Customer Support and carriers.
  • Tools and calibration. Oversee tool inventory, calibration schedules, and certification tracking, managing the associated vendor relationships and ensuring compliance.
  • Occasional coverage. Provide hands-on support during peak periods or coverage gaps as needed.

Role Overview

As we scale our North American operations, we are looking for an Operations Specialist and Coordinator to own and continuously improve the operational, logistics, inventory, ERP, and vendor-management backbone of our service center. This is a high-ownership role centered on planning, analysis, and decision-making: you will help to define how the service center runs, select and manage the vendors and carriers we depend on, own our inventory and demand strategy, and serve as the North American operations point of contact with our Munich headquarters and worldwide sites. You will exercise independent judgment daily on matters that directly a ect service levels, cost, and compliance, partnering closely with our Robot Service and Support Engineers to keep parts, systems, and payments flowing. You are joining a small and growing team with a start-up mentality, where everyone roll’s up their sleeves and takes on any task required to keep operations running smoothly. Therefore, this role directly encompasses all warehouse operations, including hands-on management and processing of incoming and outgoing deliveries.

Classification and Compensation
