What you'll do

  • Coordinate assigned internal and external grants from application and award through implementation, completion and post-project follow-up.
  • Review grant submissions, project amendments, deviation requests, progress reports and final reports for completeness, compliance and timely submission.
  • Track project milestones, KPIs, budgets, fund utilisation and reporting obligations; follow up with project teams and escalate material risks or delays.
  • Plan and coordinate TIEFA funding exercises and meetings, including applicant communications, agenda and paper preparation, project presentations, minutes, decisions and follow-up actions.
  • Advise Principal Investigators and project teams on established grant processes, policies, terms and reporting requirements, and coordinate clarification of non-routine matters with relevant stakeholders.
  • Maintain accurate project databases, records and audit trails, and prepare portfolio dashboards, management reports and submissions for internal and external stakeholders.
  • Provide portfolio support to assigned Schools and Technology Centres, including coordination of funding, project, IP, contract, licensing and commercialisation matters with relevant TIE subject-matter experts.
  • Liaise with Finance, HR, Legal, grant agencies, auditors, industry partners and other stakeholders to support effective project delivery and governance.
  • Develop and improve grant-management SOPs, templates, checklists, guidance materials and digital records, and support other innovation programmes and initiatives as assigned.

  • Relevant qualifications or experience in areas such as Finance, Engineering, Science & Technology, Computer Science, Information Technology or its equivalent.
  • Preferably 2-4 years of relevant experience in STEM research, research administration, grants, programme or project management, finance, governance, secretariat work or an innovation-related function. Fresh graduates in STEM or finance fields with prior work experience in science or innovation research are welcome to apply.
  • Good analytical, writing, organisational and follow-through skills, with confidence in handling project data, budgets, spreadsheets and management reporting.
  • People-oriented individual with excellent interpersonal, written and verbal communication skills .
  • Self-driven, independent and ability to work with others as a team

Nice to have

  • Prior experience in contracts/partnerships agreements, managing grant funded research or innovative projects portfolio will be an advantage.

Singapore Polytechnic is seeking a meticulous and proactive professional to support the governance and management of its research, innovation and commercialisation funding portfolio. The role is suitable for persons who wish to develop themselves in the field of technology innovation, with a keen interest to facilitate and support scientists and innovators to develop and transfer new technologies to companies. The appointee will coordinate internal and external grants across the project lifecycle, support the TIE Fund Allocation (TIEFA) Committee, monitor project performance and funding utilisation, and work closely with Principal Investigators, Technology Centres and corporate departments. The role also provides exposure to intellectual property, contracts, licensing and commercialisation matters through collaboration with TIE subject-matter experts.
