What you'll do

  • Coordinate interview requests and scheduling, including complex, multi-stage processes across countries, functions, stakeholder groups, and time zones.
  • Arrange candidate travel, including flights, accommodation, ground transportation, and related logistics.
  • Coordinate interview panels, executive interviews, assessments, debriefs, and hiring events with professionalism and attention to detail.
  • Act as a responsive point of contact for candidates, recruiters, interviewers, and hiring managers regarding schedules, logistics, process questions, and follow-up.
  • Prepare interview teams with the necessary schedules, candidate information, meeting details, and supporting materials.
  • Serve as an operational backbone for the Asia Talent Acquisition team, supporting consistent and efficient hiring activities across the region.
  • Support offer administration, pre-employment activities, onboarding coordination, recruitment documentation, and process compliance.
  • Maintain accurate candidate, requisition, interview, and process information in the applicant tracking system and other internal tools.
  • Lead regular data hygiene audits to improve the accuracy, completeness, and quality of Talent Acquisition data.
  • Provide general administrative and operational support to the Talent Acquisition team based on regional priorities.
  • Support the setup and administration of service agreements, vendor documentation, and recruiting-related contracts.
  • Manage Talent Acquisition purchase requests (PRs), purchase orders (POs), invoices, expense claims, and payment follow-up across Asia.

  • Business-level English required; Mandarin Chinese, Japanese, and/or Korean are a plus.
  • Willingness to work from the office three days per week.

Role Summary

We are looking for a highly organized and proactive Talent Acquisition Coordinator to support ASM's Talent Acquisition team across Asia. Sitting at the center of our regional hiring operations, you will connect candidates, recruiters, hiring managers, Finance, Procurement, and external partners to keep recruitment activities moving smoothly. This role combines interview coordination, candidate experience, financial and vendor administration, data quality, recruiting event support, and day-to-day operational excellence. It is an ideal opportunity for someone who enjoys bringing structure to complexity and wants broad exposure to regional Talent Acquisition in a fast-paced, international technology environment.

 

Key Responsibilities

Interview Coordination & Candidate Experience

  • Coordinate interview requests and scheduling, including complex, multi-stage processes across countries, functions, stakeholder groups, and time zones.
  • Arrange candidate travel, including flights, accommodation, ground transportation, and related logistics.
  • Coordinate interview panels, executive interviews, assessments, debriefs, and hiring events with professionalism and attention to detail.

  • Partner with Finance, Procurement, HR, and external vendors to support accurate processing, budget visibility, and timely resolution of issues.
  • Maintain organized records for recruitment agencies, job boards, advertising, events, employer branding activities, and recruiting technology spend.
  • Recruiting Programs, Events & Materials
  • Support the preparation and logistics for job fairs, recruiting events, university activities, employer branding initiatives, and regional hiring campaigns.
  • Coordinate event suppliers, materials, schedules, attendee information, and follow-up actions as needed.
  • Identify opportunities to simplify, standardize, and improve recruiting processes, templates, trackers, and ways of working.

 

Qualifications
